About the Role

We are looking for a new Studio Manager, a multidisciplinary role, to join the Prospect team based in Old Street, London. This is a brand new role so nail this first by making sure the studio is in tip top shape and projects are running smoothly.  There will then also be opportunities to develop and work on marketing and new business opportunities.  We’re ideally looking for someone who can start straight away so get your bags packed and be ready!

This super-hero will be the first point of contact for external guests and the internal team and you will need to manage large volumes of work under intense time pressure using a lot of mental agility and personal patience. You will work closely with the Founder and senior management team to ensure that projects and the studio run like clockwork.  You will also need to coordinate diaries and manage administrative tasks for the Founder.

Prospect is a digital experience design consultancy. Based in the heart of London's thriving digital cluster in Shoreditch, you will be joining our talented multi disciplinary team that works on top global brands to start up clients across many sectors.

Accountabilities

You will be the go-to person for all admin, finance and small project queries, forming strong relationships across the team using your initiative and proactive approach to just get stuff done and done well. You will be responsible for supporting the senior management team with aspects of resource allocation, facilitating planning and bookings for workshops, user experience interviews and travel arrangements.

You will also work closely with the Founder to provide support on a one-to-one basis, dealing with secretarial and administrative tasks. This includes, but is not limited to diary management, meeting scheduling, enquiries and requests, liaising with staff and our suppliers. You will also look after time sheeting, purchase and holiday requests, and assist with invoicing and payments.

Competencies (Core & Technical)

A detail person, you will have amazing communication and organisational skills with the ability to prioritise efficiently across a number of tasks and projects. Extensive knowledge of Google Docs, Excel spreadsheets and Word are required as well as superb email and calendar skills and a strong grasp of numeracy. We need someone to hit the ground running so a keenness to learn as well as the ability to become proficient in our systems quickly is key. A fun and social team player who is approachable, proactive and self-confident is a must.

Studio Manager - Job Description

Main Responsibilities

Studio and IT

  • Develop and maintain efficient procedures and systems to ensure the studio functions effectively  

  • Order and maintain stationery and equipment supplies

  • Maintain manual and electronic filing and archive systems

  • Ensuring the server back-up takes place and data is taken off site regularly

  • Act as main contact for IT and equipment related issues and enquiries

  • Collate information and maintain databases ensuring data protection act compliance

  • Oversee shared inboxes and ensure no messages are left unchecked and filed correctly

  • Liaising with, and managing all external suppliers including utilities companies cleaners and couriers

  • Ensuring the daily, weekly, monthly and annual task lists are completed eg. regularly keeping studio and kitchen supplies stocked

Support

  • Provide diary management and support for the Founder

  • Be the first point of contact for enquiries by phone and in person

  • Support the Founder and directors with project co-ordination and arrangements, including proposal support, internal/external meetings or conference calls

  • Coordinate travel arrangements and itinerary preparation for national or international travel

  • Prepare, draft and manage correspondence, reports and documents for internal and external use

  • Provide event support and administration

  • Undertake desk research as required

Planning & Projects

  • Assist the Founder in implementing and maintaining the Prospect work plan, schedules and calendars
  • Managing small to medium sized projects as and when required
  • Ensure projects are delivered to the highest standard

HR

  • Oversee the induction of new employees, freelancers; getting them set up on the network etc

  • Administration including Annual Leave, Sickness, and liaising with recruitment agencies when required

Finance & Legal

  • Support the Founder in the maintenance of statutory and good practice systems relevant to a registered company, eg operational recovery plan, ensuring relevant deadlines are met for insurance, annual returns, maintenance & supplier contracts etc

  • Receiving, verifying and processing all invoices from freelancers and suppliers and producing financial reports, analysing the data and providing feedback to the management team

  • Support the external accountants with bookkeeping tasks

  • Staying abreast of all Health & Safety for the Studio

General

  • Work as part of the team to realise the values and aims of the company and the strategic plan

  • To undertake any other duties which may reasonably be requested

  • The Prospect Studio runs efficiently and effectively, with the appropriate service, systems and processes to maintain high standards and facilitate monitoring and reporting on work undertaken

  • The Founder is fully supported in their diary management, meetings and administrative tasks

Salary: competitive

Hours:  This is a full time post.  There will be a probationary period for this post of     three months.  The working week comprises a total of 40 hours.  Normal studio hours are 9am-6pm, Monday to Friday.  Occasional extra hours, which may fall on evenings or at weekends, will be necessary, for which time off in lieu may be granted.
